Replacing a per-seat CRM with a bespoke system — AI-built, in delivery now

AEM Living (Audley · Elysian · Mayfield) · Later-living & retirement villages · Currently in delivery — EBI's AI-assisted build process

The client

AEM Living brings together Audley, Elysian and Mayfield — operators of premium later-living and retirement villages. Selling a retirement property isn’t a SaaS-shaped sales process: enquiries become long, considered household journeys through viewings, reservations, conveyancing and move-in, often guided by one consultant over months.

The problem

That journey was being run through a generic per-seat CRM — built for everyone’s pipeline, which means nobody’s. The licence meter ran while consultants worked around the product: the reservation-to-conveyancing flow, village-level forecasting and the owner relationship after move-in all lived at the edges of the system rather than in it.

What EBI is building

A bespoke CRM shaped to the later-living journey, plus a buyer portal — currently in delivery using EBI’s AI-assisted build process:

  • A consultant workspace built around their actual day: enquiries, calendar, households, villages, reservations, forecasting, conveyancing, sales support and owner care as first-class screens — not configuration workarounds
  • A buyer portal, so purchasing households can sign in and follow their own journey’s status
  • Reporting and dashboards designed for how a village operator actually measures its pipeline
  • Owned by AEM outright: no per-seat licences as the consultant team grows

Why this one matters

This is the new economics of bespoke software in live action: a working prototype produced at a speed that made “build exactly what we need” a rational alternative to renewing licences — the precise trade-off this website is about. The system is in build now; outcomes will be published here as it lands.
