The client

Elysian Residences develops and operates luxury later-living communities in the UK — a business where resident experience is the product, and where the head-office team should be looking after people, not paperwork.

The work

EBI is Elysian’s engineering partner across several fronts:

  • Business intelligence — Power BI reporting delivered under successive contracts, giving the operations and finance teams their numbers without the spreadsheet ritual
  • Telephony — proposals and delivery work on how residents and prospects reach the team
  • AI service design — this is where it gets interesting

The AI-run back office, designed service by service

Working with Elysian, EBI designed conversational, AI-run versions of two classic back-office processes:

Expenses. An employee tells an assistant they want to claim. The assistant checks the claim’s wording against Elysian’s actual expense policy — green categories sail through, amber routes for named-approver sign-off, red gets explained and declined. Receipts upload in the chat; line managers approve in Teams; finance receives a clean report — including a payment file formatted for the bank.

Supplier invoice packs. Site suppliers send invoices to a monitored mailbox. The system checks each one against the invoice criteria — correct address, dates, bank details — and chases the supplier itself when something’s wrong. On the first working day of the month, every PDF is collated into a tracker with duplicates flagged, cumulative supplier totals, and a per-department cost analysis for finance.

This is Service as Software in its natural habitat: not a tool the team has to operate, but a defined service — policy-checked, exception-handled, measured — carried out by an agent.
